Job Title: Visitor Experience Specialist/Office Manager (Part-Time)
Overview
Be an integral part of the organization that markets and sells the City of Dublin as a world-class destination. Responsibilities include overseeing the Dublin Visitor Information Center; maintains a working knowledge of the destination's attractions, hotels, events, restaurants, etc.; assists all visitor inquiry calls promptly and informatively; handles basic bookkeeping tasks, such as processing bills, check runs, prepare invoices, assist CEO with budget process; responsible for general office duties such as purchasing and maintaining office supplies and equipment.
Requirements include a strong knowledge of Dublin, strong customer service and business etiquette skills, excellent communication skills, initiative to handle routine problems, able to perform routine clerical tasks and good organizational skills and ability to multi-task. Dublin resident preferred.
Duties & Responsibilities:
- Performs general office manager functions and assists in day-to-day operations of the organization.
- Responsible for the Dublin Visitor Information Center -- visitor information is well stocked and updated, replenish and order brochures as necessary, refresh partner content, monitor visitor guestbook and keep log of visitors, update seasonal décor and keep professional looking and welcoming.
- Maintains a working knowledge of the destination's attractions and recreation areas, hotels, events, accommodations, restaurants and attractions.
- Works with Bookkeeping Agency -- coordinates basic bookkeeping tasks, such as processing bills, check runs, financial reports, prepare invoices, manage accounts receivable, assist CEO with budget process.
- Coordinates logistics for six annual Board Meetings.
- Answers phones and correspondence. Manage office schedule, purchase and maintain supplies and machines. Data entry on website for updated hotel, restaurants, attraction, etc. info.
- Assists all walk-in visitors and visitor inquiry calls promptly and informatively.
- Hosts two annual Destination Dublin bus tours for new industry employees. Maintain Hotel Contact sheet. Distribute Visitor Guides as needed. Distribute seasonal package collateral (coupons, etc.).
- Responsible for fulfillment and tracking of Visitor Guides, Fairy Door Trail and Celtic Cocktail Trail prizes, general information, etc.
- Assists industry partners (i.e. restaurants, hotels, shops, city, etc.) as needed.
- Assists all office personnel with various projects
Requirements:
- Knowledge of the City of Dublin hospitality industry (restaurants, attractions, events, etc.)
- Dublin resident preferred
- Strong customer service and business etiquette skills
- Good organizational skills and ability to multi-task
- Strong customer service and communication skills
- Initiative to handle routine problems
- Excellent oral and written communication skills
- Bookkeeping skills a plus
Salary:
Part-Time (25-30 hours a week) $25/Hour. Flexible hours.
